Experience/qualifications requirements:
- Fluent in Japanese and English (spoken and written). Knowledge of Hindi or regional languages is a plus.
- Minimum years of experience as an Executive or Personal Secretary, preferably in an Indo-Japanese business environment
Primary duties and responsibilities:
Administrative Support:
-Manage the President's calendar, scheduling meetings, appointments, and travel arrangements.
-Handle email correspondence, phone calls, and document management on behalf of the President.
-Prepare meeting agendas, minutes, presentations, and reports as needed.
Prioritize and respond to requests for time and information, ensuring the President informed and prepared for all engagements.
Bilingual Communication:
-Act as a liaison between the President, CFO and Japanese-speaking stakeholders, including clients, employees, and partners.
-Translate documents and communications from Japanese to English and vice versa, ensuring clear and accurate messaging.
- Attend meetings and interpret as required to facilitate smooth communication between Indo-Japanese teams.
Coordination and Planning:
- Organize events, conferences, and business meetings, ensuring all logistics are in place.
- Coordinate travel itineraries, visa arrangements, FRRO Registrations, hotel bookings, Preparation of Invitation letters and other related tasks for both domestic and international trips.
- Manage confidential documents, contracts, and reports, ensuring their safe handling and distribution.
